Association Assistant

Seeking Dedicated Team Member

Position Overview

As the public face of the Paradise Association of Realtors, the Association Assistant serves as the primary point of contact for members and the community. This role drives the smooth delivery of association programs and services to meet strategic goals and support membership needs. Operating under the general guidance of the Board of Directors, the assistant works with a high degree of autonomy to foster strong relationships with members, vendors, and partners while maintaining the organization’s high standards of professionalism. 

Key Responsibilities

·       Onboarding & Support: Process new member applications and lead the onboarding and orientation process.

·       Inquiry Management: Serve as the first point of contact for member inquiries via phone and email, resolving issues directly or routing them to the appropriate staff.

·       Member Communications: Collaborate with the Communications Coordinator to deliver timely updates and relevant information to the membership.

·       Retail Operations: Manage inventory, sales, and distribution of real estate tools, including signs, riders, and lockboxes.

Meetings & Events

·       Meeting Logistics: Coordinate venue setups, materials, and logistics for general membership meetings and weekly MLS gatherings.

·       Event Planning: Support the execution and planning of association events, programs, and special initiatives.

MLS Administration

·       MLS Management: Oversee Multiple Listing Service (MLS) operations, including software management, billing, and resource distribution.

·       Service Delivery: Ensure MLS services are delivered efficiently, accurately, and seamlessly to all participants.

Financial & Administrative Support

·       Financial Data Entry: Manage dues collection and financial data entry; proficiency in QuickBooks is required.

·       Cash Handling: Prepare bank deposits under management supervision.

·       Asset Protection: Safeguard association assets, including financial accounts, equipment, and intellectual property.

Compliance & Representation

·       Risk Awareness: Stay informed of relevant laws, regulations, and potential legal liabilities impacting the association.

·       Professional Advocacy: Act as a professional representative of the association when interacting with members, vendors, and community organizations.

 Qualifications

·  Communication Skills: Exceptional written, verbal, and interpersonal communication skills, with a proven ability to build relationships with diverse stakeholders.

·  Organization & Detail: Highly organized and detail-oriented, with a demonstrated ability to manage multiple priorities and meet deadlines.

·  Industry Knowledge: Familiarity with real estate industry practices and Multiple Listing Service (MLS) platforms is highly preferred.

·  Technical Proficiency: Strong administrative skills and proficiency with standard office software, productivity tools, and database management.

 Compensation and Benefits:

• Rate of Pay: $22.50/hour during 90 day probationary period

• Up to 25 hours per week

• Work Hours: Tuesday-Friday

• Sick Leave: Sick leave will accrue after 90 days of employment.
